Voice Forge AI Inc. ("Voice Forge AI," "we," "us," or "our") respects your privacy and is committed to protecting personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (BC PIPA). This policy explains what information we collect, how we use it, when we share it, and the rights available to you.
1. Who we are
Voice Forge AI Inc. is a British Columbia corporation operating an AI voice production studio at 156 West 5th Avenue, Suite 110, Vancouver, BC V5Y 1H7, Canada. Our business number is BN 851903674 RC0001. We provide narration, character voice, dubbing and post-production services to clients in Canada and internationally. 2. Scope of this policy
This policy applies to personal information collected through voiceforgeai.life, our contact forms, email correspondence, studio engagements and related client communications. It does not apply to third-party websites linked from our pages. Project-specific agreements may include additional confidentiality terms that supplement this policy.
3. Information we collect
3.1 Information you provide directly
When you contact us, request a quote or engage our studio, we may collect:
- Identity and contact data: name, email address, phone number, company name, job title
- Project data: scripts, pronunciation notes, reference audio, creative briefs, delivery specifications
- Billing data: invoicing address, purchase order numbers, payment references (we do not store full payment card numbers on our servers)
- Consent records: checkbox confirmations submitted via our contact form, voice likeness consent documentation where applicable
- Communications: messages, meeting notes and email threads related to your enquiry or project
3.2 Information collected automatically
When you visit voiceforgeai.life, limited technical data may be collected:
- IP address, browser type, device type and operating system
- Pages visited, referring URL and approximate visit time
- Cookie and local storage identifiers where you have consented to non-essential cookies (see our Cookie Policy)
3.3 Information from third parties
We may receive contact or referral information from agency partners, industry directories or professional networks when you have directed those parties to share your details with us. We use such information only for the purpose for which it was shared.
4. How we use personal information
We collect and use personal information only for purposes a reasonable person would consider appropriate in the circumstances. Primary uses include:
- Responding to enquiries submitted through our contact form or email
- Scoping, quoting, delivering and invoicing voice production projects
- Directing and reviewing AI-assisted voice production on your behalf
- Documenting usage rights, consent and licensing terms
- Maintaining studio records, session logs and revision history
- Improving our website and understanding aggregate visitor patterns where analytics cookies are consented to
- Complying with legal, regulatory, tax and accounting obligations
- Protecting our rights, clients and studio systems against fraud or misuse
We do not sell personal information. We do not use client scripts or finished audio in marketing without separate written consent.
5. Legal basis and consent
Under PIPEDA and BC PIPA, we rely on your knowledge and consent for the collection, use and disclosure of personal information, except where the law permits otherwise. When you submit our contact form, you must actively check the consent box — it is not pre-selected. By providing information in connection with a studio engagement, you consent to uses reasonably necessary to perform that engagement.
You may withdraw consent for non-essential communications or optional analytics cookies at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawal may limit our ability to continue a project or respond to certain requests.
6. When we share information
We disclose personal information only as described below:
- Service providers: trusted subprocessors who assist with secure file transfer, email delivery, cloud storage, accounting or website hosting — bound by confidentiality and data-handling obligations
- Voice technology providers: where generative tools are used to produce audio under producer direction, script excerpts may be processed on third-party infrastructure under project scope; we select providers with reasonable security practices
- Professional advisers: lawyers, accountants or insurers when necessary for compliance or risk management
- Legal requirements: when required by court order, subpoena or applicable law, or to protect rights, safety and property
- Business transitions: in connection with a merger, acquisition or asset sale, with notice where practicable
We do not share contact form data with unrelated marketers. Cross-border processing may occur when service providers host data outside Canada; in those cases we assess safeguards and contractual protections consistent with PIPEDA's accountability principle.
7. Retention
We retain personal information only as long as necessary for the purposes described in this policy or as required by law. Typical retention periods:
- Contact form submissions: up to twenty-four months after last correspondence unless a project proceeds
- Active and completed project files: duration of the engagement plus seven years for contractual, tax and dispute-resolution purposes
- Consent and licensing records: duration of the licence term plus seven years
- Analytics data: aggregated or anonymised where possible; raw logs up to thirteen months when analytics cookies are enabled
- Cookie consent choices: six months in local storage, as described in our Cookie Policy
When information is no longer needed, we delete or anonymise it using reasonable technical measures.
8. Security
We implement administrative, technical and physical safeguards appropriate to the sensitivity of the information we hold. Measures include access controls on studio systems, encrypted transfer where supported, password-protected file delivery and staff training on confidentiality. No method of transmission or storage is completely secure; we cannot guarantee absolute security but we review practices periodically and address known risks.
9. Your rights
Subject to applicable law, you may have the right to:
- Request access to personal information we hold about you
- Request correction of inaccurate or incomplete information
- Withdraw consent for optional processing where consent is the basis
- Challenge our compliance with PIPEDA or BC PIPA
- File a complaint with the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia

10. Children's privacy
Our services are directed to business clients and adult collaborators. We do not knowingly collect personal information from individuals under sixteen without appropriate parental or guardian consent. If you believe we have collected such information in error, contact us and we will delete it promptly.
11. Scripts and creative materials
Scripts and reference materials you submit may contain personal information about third parties — for example, names, biographical details or likeness references. You are responsible for ensuring you have the right to share such materials with us. We treat client materials as confidential within the scope of our project agreement and this policy, and restrict internal access to personnel who require it for production.
12. AI processing notice
Voice production may involve processing script text and reference audio through generative voice systems under human producer supervision. Outputs are reviewed before delivery. We do not use your project materials to train public-facing models for unrelated clients unless explicitly agreed in writing. AI outputs may contain artefacts or unintended similarities; human review is part of our quality process, not a guarantee of perfection.
13. Changes to this policy
We may update this policy to reflect changes in law, technology or studio practices. The effective date at the top of this page indicates the latest revision. Material changes will be posted on voiceforgeai.life. Continued use of our website or services after an update constitutes notice of the revised policy, except where further consent is required by law.
14. BC PIPA-specific notice
Because Voice Forge AI operates in British Columbia and collects personal information from BC residents, BC PIPA applies alongside PIPEDA. Under BC PIPA, organisations must only collect information that a reasonable person considers appropriate, must protect personal information with safeguards proportionate to its sensitivity, and must designate a contact for privacy enquiries. Voice Forge AI's privacy contact is [email protected]. BC residents who believe we have not complied with BC PIPA may contact us for access and correction, and may also complain to the Office of the Information and Privacy Commissioner for British Columbia (OIPC BC). We cooperate with legitimate investigations and maintain records of consent where required for studio engagements and contact form submissions.
15. International visitors
If you access voiceforgeai.life from outside Canada, you understand that information may be processed and stored in Canada or by service providers in other jurisdictions with different privacy laws. By submitting personal information, you consent to transfer and processing as described in this policy, subject to applicable legal limits. Where regional law grants additional rights — for example, the right to object to certain processing — we honour those rights when we are legally required to do so.
